Once your domain email has been set up on Zoho Mail, there are three ways to access it — through a web browser, via the Zoho Mail app on your phone, or through a desktop email programme like Outlook or Apple Mail. Here's a rundown of each option so you can choose what works best for you.
Option 1: Zoho webmail
The simplest way to get started is to log in directly through a web browser. There's nothing to install or configure.
- Open your browser and go to mail.zoho.eu
- Enter your full domain email address (e.g. you@yourdomain.co.uk) and your password
- Click Sign In
That's it. Your inbox will load and you can start sending and receiving mail straight away.
This is handy if you're on a shared or unfamiliar computer, but it's not ideal as your main method of checking email day-to-day.
⚠️ Please note: Because you're visiting a website rather than using an app, you won't receive any notifications when new mail arrives. You'll need to remember to check in regularly — it's easy to miss messages if you rely on this method alone.
Option 2: The Zoho Mail app (recommended)
For most people, the Zoho Mail app is the best option. It's free, works on both iPhone and Android, and takes just a couple of minutes to set up.
- On your phone or tablet, open the App Store (iPhone) or Google Play (Android)
- Search for "Zoho Mail" and install the app
- Open the app and tap Sign In
- Enter your full domain email address and password
- Follow any on-screen prompts to complete the setup
Once set up, you'll receive push notifications for new messages, you can manage folders, and everything syncs automatically across your devices. If you use a tablet as well as a phone, you can install it on both.
Option 3: Outlook, Apple Mail, or another email programme
If you already use a desktop email programme and would rather not change your workflow, you can connect it to your Zoho Mail account using IMAP. This means your email is synced rather than downloaded, so anything you do in one place — reading, deleting, filing — is reflected everywhere.
Before you begin, you'll need to make sure IMAP access is enabled in your Zoho account. Log in at your Zoho webmail (see Option 1 above), go to Settings > Mail Accounts, and check that IMAP is turned on.
Setting up in Outlook:
- Open Outlook and go to File > Add Account
- Enter your email address and click Advanced options, then tick "Let me set up my account manually"
- Click Connect and choose IMAP
- Enter the server settings from the credentials section below
- Enter your password when prompted and click Connect
Setting up in Apple Mail (Mac):
- Open Mail and go to Mail > Add Account
- Choose Other Mail Account and click Continue
- Enter your name, email address, and password, then click Sign In
- If it doesn't configure automatically, enter the IMAP and SMTP settings from the credentials section below
- Click Sign In to finish
Setting up on iPhone or iPad (built-in Mail app):
- Go to Settings > Mail > Accounts > Add Account
- Tap Other, then Add Mail Account
- Enter your name, email address, password, and a description, then tap Next
- Select IMAP and enter the server settings from the credentials section below
- Tap Next, then Save

Server settings and credentials
⚠️ Please note: The server addresses you need depend on whether your account is based on the Zoho EU datacentre or the global one. If you're not sure which applies to you, check which address you use to log in — if it's mail.zoho.eu then you're on the EU datacentre; if it's mail.zoho.com then you're on the global one.
If your account is on the EU datacentre (mail.zoho.eu):
Incoming mail (IMAP)
- Server: imap.zoho.eu
- Port: 993
- Security: SSL/TLS
- Username: your full email address
Outgoing mail (SMTP)
- Server: smtp.zoho.eu
- Port: 465
- Security: SSL/TLS
- Username: your full email address
If your account is on the global datacentre (mail.zoho.com):
Incoming mail (IMAP)
- Server: imap.zoho.com
- Port: 993
- Security: SSL/TLS
- Username: your full email address
Outgoing mail (SMTP)
- Username: your full email address
- Server: smtp.zoho.com
- Port: 465
- Security: SSL/TLS
To sum up
There's no single right way to access your Zoho Mail account — it really comes down to how and where you check your email most often.
- Zoho webmail is the quickest to get started with but remember, no notifications — so it's best used as a backup rather than your main method.
- The Zoho Mail app is the recommended option for most people, especially if you're primarily on your phone or tablet. It's free, easy to set up, and works just like any other mail app.
- Outlook, Apple Mail, or your preferred email programme is the best choice if you work mainly from a desktop or laptop and want to keep your existing workflow.
Whichever option you choose, your email address stays exactly the same and you'll have full access to your mail. If you have any questions or need a hand getting set up, don't hesitate to get in touch.
